Summary
The Office of the Executive Vice President and Chief Financial Officer (EVPCFO) is seeking a service-oriented executive assistant for the university's first associate vice president for campus sustainability (AVPCS). This position will serve as a critical member of the EVPCFO office administrative team, providing day-to-day support for the AVPCS and administrative coordination and logistical support for high-impact projects, activities, and events managed by the office. The position will also provide backup support for the EVPCFO administrative team.
The ideal candidate must exercise initiative, judgment, discretion, independent decision-making, and workload prioritization. The ability to work as part of a team is essential to a person's success in this position.

Responsibilities*
Administrative Support and Coordination 50%: Provide administrative and logistical support for activities, such as complex scheduling; coordinating meeting logistics and preparing meeting agendas, slide decks, and other materials; managing correspondence; looking ahead to anticipate needs; planning; coordinating travel arrangements and itineraries; preparing expense reimbursements; and other duties as assigned.
Project Coordination and Support 40%: Provide project coordination and support for key initiatives being led by the Associate Vice President for Campus Sustainability, including complex scheduling; preparing and distributing meeting materials; tracking project timelines, looking ahead to anticipate future needs, and reporting on progress. The position will also help coordinate with external consultants, support contracting, manage vetting processes, track action items, and manage meeting notes for key projects.
Office Scheduling and Support - 10%: In conjunction with the EVPCFO's administrative leads and provide backup for executive administrative support, as needed.
The successful candidate will possess:

- Strong and effective interpersonal (verbal and written) communication skills.
- Excellent organizational skills and ability to efficiently complete work in a timely manner.
- The ability to independently manage multiple assignments and deadlines and perform a wide range of service and support activities, sometimes under pressure.
- Accuracy and attention to detail while working in a fast-paced environment with frequent interruptions.
- The ability to exercise initiative, good problem-solving skills, independent judgment, diplomacy, and discretion.
- The ability to follow complex instructions and anticipate the next steps.
- Extensive experience with complex calendar scheduling, travel/hosting arrangements and policies, meeting preparation, and tracking action items.
- Experience in planning and executing events.
- The ability to effectively use Microsoft Office software, especially Outlook, Word, PowerPoint, and Excel.
- Experience with (or ability to learn) other computer applications such as Google, Dropbox, or other collaboration tools. Some experience desired in Adobe applications (Photoshop, Illustrator, etc.).
- Strong written communications skills, including proficiency in proofreading, spelling, grammar, and punctuation.
- A service-oriented attitude and the ability to professionally represent the EVPCFO Office.
- A personal commitment to environmental sustainability and to the values of diversity, equity, and inclusion.
Required Qualifications*
- A high school degree plus a minimum of eight years of office/administrative experience (or equivalent), including at least five years serving as a senior executive assistant, is required for this position.
- Knowledge of the university structure and experience coordinating complex scheduling across multiple executive offices.
- Strong understanding of university policies and procedures.
